Job Description

Position Title: Part-Time Church Administrative Assistant

Hours: maximum 25 hours/week; Salary: $18-20/hour, Commensurate with experience

 

Overview:

The part-time Church Administrative Assistant plays a vital role in supporting the mission and ministry of the church by ensuring the smooth operation of the church office. This individual serves as a key point of contact for members, visitors, staff, and ministry leaders, while maintaining a high level of professionalism, confidentiality, and Christlike character. The applicant must be an active member of a local Christian church. This individual should have a servant-hearted attitude, consistently demonstrating kindness, discretion, and professionalism, especially in handling confidential matters. Strong communication skills and the ability to work well with diverse personalities are essential. Additionally, the candidate should show a continual desire to grow, learn, and enhance their skills in the role.

 

Responsibilities:

·         Welcoming visitors: Providing a friendly and professional first point of contact for people coming to the church office.

·         Supporting volunteers: Coordinating and communicating with ministry volunteers as needed.

·         Answering phones and emails: Responding to inquiries and directing communications to the appropriate staff or ministry leaders.

·         Managing the church calendar: Scheduling meetings, events, and facility use for church activities. Refer outside requests for facilities use to the Leadership Team.

·         Preparing bulletins and newsletters: Creating and distributing weekly service bulletins, monthly newsletters, or special announcements.

·         Data entry and record-keeping: Maintaining accurate records of church membership, attendance, baptisms, contributions, and other essential information.

·         Coordinating electronic and physical mailings: Sending out correspondence, including thank-you letters, reminders, and event invitations.

·         Manage the church’s telephonic call system: record outgoing messages and disseminate messages as directed.

·         Administer office machine contract: ensure service calls are made for malfunctioning equipment. Maintain copier paper inventory, letterhead stationery inventory, and bulletin inventory

·         Provide direct administrative support to the church pastor, staff, and ministry teams.

·         Keep church staff and Deacon of the Week informed of members’ needs such as illnesses, deaths, and other crises that are called into the office.

·         Exercise tact, courtesy, confidentiality, and diplomacy in receiving callers, in person or by telephone; keep calendar of appointments.

·         Perform general office work including copying, letter writing, record keeping, mailings, and managing office supplies and equipment.

·         Maintain accurate church records (e.g. membership, prospects, baptisms, calendar, etc.) working in cooperation with the Church Clerk.

·         Perform other duties as assigned by the Pastor.

 

Qualifications/Experience:

·         At least a high school diploma; some college preferred

·         Experience with Microsoft Office products including Word, Excel, and PowerPoint
